Job Description:

The Administrative Assistant is pivotal in enhancing our office operations and streamlining workflow efficiency, reporting to the CEO. This multifaceted role encompasses conducting research, managing schedules, handling correspondence, and overseeing general office administration. We are seeking a highly competent individual who thrives on tackling new challenges and devising innovative, intelligent solutions to complex problems.

Key Responsibilities:

  • Provide administrative support to the executive team, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Serve as the primary point of contact between executives and internal/external clients.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist in the preparation of regularly scheduled reports.
  • File and retrieve documents and reference materials.
  • Conduct research, collect and analyze data to prepare reports and documents.
  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Arrange and coordinate meetings and events.
  • Record, transcribe, and distribute minutes of meetings.
  • Monitor, screen, respond to, and distribute incoming communications.
  • Liaise with internal staff at all levels and interact with external clients.


  • Demonstrated experience in roles such as Executive Assistant, Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Proficiency in modern productivity and collaboration tools including Notion, G-Suite, Zapier, Quickbooks, and other relevant software for efficient project management, marketing, and sales activities. MS Office proficiency is also valued.
  • Exceptional organizational skills and time management capabilities, with the ability to excel in a dynamic and fast-paced work environment.
  • Adept at multitasking and setting priorities, ensuring efficient management of a varied workload.
  • A high level of discretion and a deep commitment to maintaining confidentiality.
  • Outstanding communication skills, with proficiency in both written and spoken English, facilitating clear and effective interactions.
  • A keen eye for quality and an acute attention to detail, essential for tasks requiring precise execution and decision-making.
  • Strong problem-solving skills, coupled with excellent writing abilities, to effectively handle complex tasks and communication.
